Court administration · England and Wales

From a court notice to work ready for review.

A hearing notice arrives. Your team must find the matter, check the dates and prepare the client update. We build one workflow to prepare that work for solicitor review. The court examples below are for England and Wales.

Trigger: A hearing notice or court order becomes available through the firm’s agreed source.

Prepare a matter update from a court notice

Work prepared
Find the matter. Extract the hearing date, deadlines expressly stated in the document, required documents and stated actions. Link each point to its source. Draft a factual client update.
Useful output
  • One review pack with the source notice, a date-and-action summary, missing items and a draft client email.

Matter update ready for review

Solicitor control

The solicitor checks the dates and their meaning, resolves conflicts and approves the update. Procedural deadlines that need calculation or interpretation remain for solicitor review.

Request a quote

Trigger: A solicitor asks for a matter update, or new correspondence arrives.

Bring the matter position into one note

Work prepared
Bring together relevant court correspondence, emails and matter documents. Summarise what has happened. List outstanding documents, unanswered questions and proposed tasks.
Useful output
  • A factual status note with source links and proposed next actions, ready for the matter record or a client update.

Status note ready for review

Solicitor control

The solicitor confirms the position, decides the next steps and approves any client communication. If the matter is unclear, the workflow stops and asks.

Request a quote

Trigger: The solicitor requests hearing preparation using the firm’s agreed checklist.

Prepare for a hearing

Work prepared
Find the relevant documents. Prepare a bundle index. Identify missing documents, such as a witness statement or exhibit. Draft requests for the missing items.
Useful output
  • A draft index, a missing-document list and draft requests, ready for review together.

Hearing preparation ready for review

Solicitor control

The solicitor decides what belongs in the bundle, checks the requirements and approves each request. A missing document is flagged, not replaced with a similar file.

Request a quote

Trigger: A solicitor asks for a document pack for an agreed filing.

Prepare the filing pack

Work prepared
Collect the specified documents and versions. Check them against the firm’s checklist. List missing items and prepare the pack for review.
Useful output
  • A document pack with its checklist and open points shown.

Filing pack ready for review

Solicitor control

The solicitor confirms the documents, contents and filing requirements. Filing stays with the solicitor.

About twice as many clients today. Room for 3.5 times as many.

🎙️ Voice notes

Voice is your new PA. A very skilled one.

Speak between two hearings, in a taxi or on the way to a client. Thirty seconds of voice becomes a draft in Outlook or Gmail, with the correct attachments, ready for your approval.

  • Speak as you thinkNo form, no template, no prompt. Say what you want, as you say it to an assistant.
  • It knows your mattersIt finds the client, the thread and the documents. If two matters are possible, it asks.
  • You approve. Then it sends.Nothing leaves the firm until a lawyer approves it.

How it works

One defined task. Useful work to approve.

We build and test the agreed path from the starting instruction or document to the result your lawyer reviews.

01

Start the work

A lawyer sends a message or voice note, or an agreed source provides new correspondence.

02

Identify the matter

Find the correct client and matter. If the match is unclear, stop and ask.

03

Retrieve authorised sources

Use the information and systems agreed with your firm.

04

Prepare the work

Create the draft, status note, index or document pack defined in the workflow.

05

Show the checks and gaps

Check the source references, documents and recipients where relevant. List missing information and open questions.

06

Lawyer review

The lawyer checks the result and makes corrections.

07

Approved action

The lawyer sends the communication or approves the send. Filing stays with the lawyer.

08

Keep the record

Record what was requested, prepared, approved and sent.

Your tools and authorised sources

Keep the tools. Remove the repeated preparation.

For an online money claim handled through MyHMCTS, a hearing notice can state the hearing date and the claimant’s hearing-fee deadline. For matters in courts that use CE-File, a court order or notification can start the work. Each summary links back to the source document.

Work can start with notices already in your mailbox or matter folders. If direct portal access is needed, we confirm the available access and proposed connection before including it in the fixed quote. MyHMCTS and CE-File cover different courts and case types.

Scotland and Northern Ireland use different systems and procedures. Tell us where your firm practises so we can agree the right sources and scope.

Official guidance: MyHMCTS and HMCTS E-Filing (CE-File).

Controls

The lawyer stays in charge.

These controls are part of each workflow. We test them before handover.

01

Legal judgement stays with the lawyer

The workflow prepares factual summaries, drafts and documents. Lawyers decide the advice, legal position and next action.

02

External communications need approval

Nothing leaves the firm until a lawyer approves it. We test that an unapproved send is blocked. Filing stays with the lawyer.

03

Unclear matter? Stop and ask.

If the client or matter is not clear, the workflow asks. It does not guess.

04

Missing documents and conflicting dates stay visible

The workflow lists what it did not find and flags conflicting dates for review. It does not substitute a similar document or choose a legal interpretation.

05

Agree how data is handled

Before connecting your sources, we agree the data, users, providers, regions and retention period.

We work as your data processor, under terms that fit UK GDPR, the UAE data protection law and the DIFC or ADGM rules, as they apply to your firm.

Case study

A reputed litigation firm: five months of daily legal work

The lawyers of an established Paris litigation firm gave daily work to the assistant by message and voice note. The work included client replies, evidence bundles, revisions and matter status.

See how the firm prepares client replies, evidence bundles and document revisions, with lawyer review at each step.

Talk to the managing partner. She will speak with other firms that are considering the workflow, on request.

Questions from UK solicitors

01Can you work with MyHMCTS or CE-File?

We can scope a workflow around your firm’s authorised sources and available access. That can start with notices and documents already in your mailbox or matter folders. If a direct portal connection is needed, we confirm it before including it in the quote. MyHMCTS and CE-File serve different courts and case types.

02Will the workflow calculate every legal deadline?

It extracts dates and deadlines expressly stated in the source documents and shows where they came from. A solicitor reviews conflicting dates, legal interpretation and procedural deadlines that need calculation.

03Can you use full account access?

Yes, where your firm authorises it and the service permits the agreed use. The workflow does not depend on a read-only or draft-only court account. Lawyers still control legal judgement, external communications and filing.

04Are these court examples for the whole UK?

No. The MyHMCTS and CE-File examples on this page are for England and Wales. Work for firms in Scotland or Northern Ireland needs sources and procedures agreed for that jurisdiction.

05What do we agree before work starts?

One defined workflow, the access it needs, representative examples, acceptance cases and one all-inclusive fixed quote. Up to two change requests within the agreed need are included.

06What does the Working Workflow Guarantee cover?

The agreed workflow will pass the acceptance cases defined before work starts. If it does not, Snapp.Fast corrects the agreed workflow at no additional fee. Reproducible defects in the accepted scope remain covered for 14 days after handover.

07Do we need IT staff to run the workflow?

No. You keep what we build. Or we run it for you. We host and monitor the workflow, apply updates and make small changes. Your lawyers use it in the tools they already know. We agree the run plan and its price before it starts. You can stop the plan at any time.
